Gerwc Minutes June 12,
2002

Treasurer Report: Submitted. Pulled $1000 out of savings to checking
to cover the monthly bills. Waiting on River Run payment. Has been billed.
It could be up to 60 days before payment.
Web/ Timing: Web: Has changed the scholarship name to “Ray Rayl
Memorial” Changed the Race results link name. Current minutes are in. Profile
is on the web. Step up club has photos on site (2 clubs) Bowling Green
runners club has contacted Chad on trading names for mailing entry forms.
We now have 2000 names along with what we had. Will have the race calendar
on a link but with only the name of race and contact person. And only from
newsletter. Timing: River Run had 1,053 finishers. National
15k had 47 finishers. We’ve had over 5000 hits to the web site! Ced
will find out if we can get a link to the Art’s Council.
Banquet: It was brought up to discussion on a speaker, for the
next banquet. We will try to make it within the last two weeks in
January. Anne Audain was suggested. As she lives locally. Maybe also a
athletic clothes rep also. I will wait until the next meeting to start
on getting a speaker. And get suggestions on food. Thank you cards
for last banquet has been sent out a few months ago. I have failed to mention
this at the last few meetings.
Race Calendar: WABX volunteers to report at 7-7:30 am. At 4th
and Main. Run for the Scouts – July 13th. Rob hopes to get this a certified
course. Aug 3rd- Y series 5k and Jasper’s Strassenfest 5k, at the same
time. We will be timing the Strassenfest. Washington IN., is Aug 24th.
Corn Classic is Sept 21st. Same as the Race for the Cure.
Walker’s Report: Mike Hudson has came to speak on behalf of the
walkers. He wished every volunteer a big Thank you. And to state,
that he will be the race director again next year. Along with Drew Swonder
and Bob Head as his assistants. Why break up a good team! Also it was voted
that Bob Head would now give the Walkers report.
Membership: Was talk about purchasing shirts for the race timing
volunteers. We have been receiving request online about joining! Elizabeth
is working on getting a club brochure made up, to give to Chad. This will
be placed in all race packets. Chad would like to get a email server list
made up of all members that have email. On a volunteer and notices, of
races coming up. License plates were talked about, along with magnets.
We have discussed that we contact and send other race clubs in a 250-mile
radius a newsletter and ask them to do the same. To try to promote memberships
,outside the tri- state region.
Newsletter: A few newsletter’s got mixed up in the mail. Deadline
June 20th. Contact Janet at her new address: evvrunner@insightbb.com
Picnic: Schedules for August 11th. Craig will take over the kid’s
games. Same committee as last year. Gordon will contact these people when
the meetings are to take place.
Step- Up: Adding more kids! Will give a prize when they reach
the ½ marathon mileage. It was suggested to the leaders that they
give their kids a cross training schedule for summer. So they don’t get
bored. We need a GERWC club. For the members kids. We have none at this
time. RRCA would like some kind of article of the Step-Up to print in their
newsletter.
Scholarship: Renamed “Ray Rayl Memorial Scholarship” Bill Hussman
is composing a letter to give to the school board and counselors and coaches.
Hopefully we will get a few reply’s before the Dec/Jan deadline.
Ced is checking if we can move some funds to make this a bigger scholarship.
Talk about a race for proceeds to go the scholarship. Will discuss in the
future.
Old Business:
1. RRCA trip: We talked about the benefits of this. Cedric has even
written a letter about it. If Gordon doesn’t get a copy, I will give him
one.
2. River Run: Chad announced that he would no longer meet with Mike.
It will be solely Gordon. They have been billed. And it could be up to
as much as 60 days before a check comes in.
3. Art’s Council ½ Marathon: 2003. The art’s council will tap
their membership organization for volunteers. Gordon is the race director.
No course has been selected. No money will be offer as prizes. There was
talk of several possible sponsors. We will be looking towards fall. Probably
after the Y 15k.
New Business:
1. Picnic: Aug 11th at Wesselman’s Park. Time will be given soon.
2. Advertisement: Maybe magnets, shirts for race timing volunteers.
License plates.
3. Ray Rayl race: Time? When? Proceeds go to the scholarship fund.
We are awaiting the families decision.
4. Club Brochure: Elizabeth is working on this.
5. RRCA Membership: Need to discuss the insurance part with Gordon
at next meeting.
Other:
15K: Chad submitted a bill for timing, to the Runners Club. He did
not know the walkers club paid for this. As it was told pro bono. So in
the future it was voted that if the club states pro bono timing, then the
club will have to pay for this.
Senior Games: Numbers were down.
Y not 2 K: have again this year. Fun Run only again.
