GERWC Minutes
Sept 10, 2003

Attending: Jerry, the three Bob's, Don, Mike, Ced, Tom, Carol, and Jim.
Guest: none

Treasurer Report: Submitted and approved.
Jasper and Petersburg races are paid.

Race Timing: Mike has met with Goodwill, for the Turkey day 5k. The charge for timing this race this year is only $2 ahead. And they need to get the permits. They had concerns of the length of the shute. They would like more of a mailing list. Mike will contact Mike Hillyard and ask for his mailing list. The Anderson's can get of Toyota and get their mailing list too. (No t-shirts available for volunteers this year) Mike needs to use the clock and all timing machines to do some testing with the computer. A schedule will have to be worked out. (Will need for only a weekend)

Web Page: All is well, after Greg has experienced some computer problems. Jasper race results have been sent.

Banquet: October meeting we will need a confirmation on speaker, to get a date set for SWIRCA building. If no confirmation, we will need to set the date anyway, and work around this date. Bob Head will check on food again and let us know. We will get 10% more food this time. Tom is still checking on the speaker. Don will help with door prizes.

Race Calendar: Joe is out of town. But we know of three race GERWC will time. And they are Boo Run, Turkey Day and the Jingle Bell (upon contact for this race) And also the Ray Rayl memorial race.

Walkers: the USATF Indiana Association is hosting a state 20K Racewalk at Wesselman's Park. The date scheduled is Sunday, Nov 2nd. We have the permit.
It was talked about the walkers club and the runner's combine together for a Christmas Party. Bob Head will write a small article about this and send to Jerry. It will list day and time and price.

Membership: We have 2 new since last month. We need to just send the new names and addresses only; As Jiffy has to generate a whole new list. This way they can just add the names on to the original list. It cost $12 every time to make this new list.

Newsletter: Jerry will be out of town for the next two meetings and the next newsletter. Jerry Walker will get it together and get it to Jiffy. Article deadline is the 15th of Oct. Email all inquiries to gerwcnews@yahoo.com.

Picnic: It was a concern of lack of members at the picnic. And there was too much food. Don was not sure of how many reservations Craig had. It was suggested that we get the shelter across from the tennis courts, and maybe later in the day, due to heat. Don will work on these suggestions. Let Don Nichols know if you have a suggestion on making the picnic a success.

Step-Up Club: Tom and Carol have sent letters to all schools. And have gotten big responses. They have spent a lot of time talking to counselors and principals too.  But finding a leader for these new clubs remains a problem. Tom will send info to Greg on updating the site for the Step- Up. Cedric will receive a bill for printing of new leader books. It will be $200-$300. Carol is working with Christina on getting several maps together for contribution to the brochure. She has several maps ready for printing. She is asking for a contribution on this. It was motioned and voted approval that GERWC contributes $250 and the Step-Up contributes $250.

Scholarship: The money made from the Ray Rayl race will go into this fund. Ced will purchase a CD. We still have the original money in CD's for scholarships.

Special Events: Don has several questions on the Ynot2K. He will check with Craig on getting and outline for this. Ced will work with the Arts Council again. GERWC is responsible for getting parade permit for this. It will be the same course as last year.

Summer Track Program: It was mistakenly stated that the cost was only $100, to put this on. It was actually about $500 all together. Gordon is thinking about changing the check in time to 5pm. Instead of 4:30, to save some money. Ray Bawels has donated $300 for the summer track program. His grandson Max was at every meet. They are from Jasper.

Old Business: The club was paid by Jasper, Pike races. Jim had left an invoice for the Toyota race. (This was only a 1.7 mile race, for employees only)

New Business:
Board: Craig Halsey has resigned from the board.
Gillis: As you all know by now, Melinda has moved to Indy, and is currently working at Athletic Annex. Jim Nolan has taken her place at Gillis. He is also experienced in selling you the right shoe.
Yoga for Runners: Still looking for a place. Leslie Ward is the instructor. She charges $550 for 6 time sessions, a Flat fee for the first year. It was voted that we charge members a $20 fee and non-members a $30 fee, and a free membership (1year) to the club. This is for 6 sessions. The Yoga will focus on what muscles that runners use.
Boo Run: Oct 25th is the date set for this 5k race. At USI and we will do finish line only. Trophies will be 3 deep in each age group.
WHO'S in Charge of What: This is a Who's Who. It has been brought up with confusion as who does what and who contacts who. So here is the list!
Timing: Gordon coordinates all road races. And Mike times them (with the computer). All race directors (and future) must contact Gordon first!
Ray Pritchett is in charge of Cross Country races.
Bob Lauderdale is in charge of High School track events.
Joe sends out invoices.
Jim is a starter.
We hope this helps on some of the confusion lately. These are the people to contact for those special events.

Other: Cedric will check on if polo shirts are available for Don, Jerry and Mike.
It was brought up that the timers need to have some special compensation, for all the work and never missing a race all year.
Also we are currently looking for a volunteer coordinator. This job will be to contact volunteers and keeping a log of who, when and how many race they volunteer all year.
If interested contact Gordon.

Next meeting will be on Oct 8th at 6pm. At the YMCA
